Working as part of the GME Business Operations Team, the Specialist partners with program leadership, affiliate institutions, and regulatory bodies to ensure operational excellence, accreditation compliance, and alignment with institutional goals. This position plays a critical role in the lifecycle management of GME physicians (residents and fellows), institutional data integrity, and continuous improvement of processes that support the success of all UW Health–sponsored residency and fellowship programs. The Specialist also contributes to system optimization, policy compliance, and strategic initiatives that enhance the overall quality and efficiency of the GME enterprise. | | | | | | | | |
• | Administers onboarding logistics and hiring requirements for GME physicians, including J-1 visas, ECFMG certification, state medical licensure processes and other regulatory credentials – ensuring full compliance with institutional, accreditation, state, and federal requirements. | • | Coordinates with affiliate partners and institutional departments (Human Resources, Payroll, etc.) to align onboarding, credentialing, and compliance processes. | • | Maintains accurate data in institutional systems throughout the training lifecycle, including appointments, promotions, reappointments, stipend changes, leave administration, and transition to alumni status. | • | Serves as a subject matter expert on ACGME, ABMS Member Boards, Joint Commission, and Institutional requirements and policies related to GME Business Operations. | • | Ensures documentation, training records, and data remain accurate, audit-ready, and compliant for accreditation, CMS, and affiliate reimbursement; monitors, audits, and reports on compliance metrics. | • | Partners with GME leadership on regulatory changes to develop corresponding process or policy improvements. | • | Oversees data integrity, reporting, dashboards, and analytics in GME systems to support accreditation, compliance, strategic, and institutional decision-making. | • | Leads and/or contributes to institutional initiatives to streamline workflows, improve efficiency, and strengthen compliance across GME programs. | • | Drafts and maintains standard operating procedures and best practice documentation for business operations. | • | Collaborates with cross-functional workgroups to optimize processes and systems in response to evolving operational needs. | • | Serves as a liaison between the GME Office, program administrators, GME physicians, affiliate partners, and institutional departments. | • | Provides GME business process guidance, training, and communication resources to support program coordinators, faculty, and GME physicians. | • | Engages in professional development to stay current with evolving GME standards, regulations, and best practices. |
