The Supervisor will oversee activities in the accounts payable department, including monitoring invoice volumes, reviewing applicable reports and dashboards to identify trends and issues, and identifying solutions. The incumbent will evaluate staff workload and throughputs while balancing suppliers, transactions, and priorities as needed. The Supervisor will work with Finance leaders to meet departmental and organizational goals. The position will communicate extensively with departments and leaders throughout the organization, including executives, directors and managers in resolving a wide variety of problems and questions. | | | | | | | | |
• | Lead, train, and evaluate AP staff; assign workloads and ensure service level expectations are met. | • | Monitor accounts payable aging and proactively address overdue invoices or vendor issues. | • | Train and evaluate staff to enhance their performance, development, and work product. Address performance issues and makes recommendations for personnel actions. | • | Develop and maintain standard operating procedures and documentation. | • | Maintain strong accounts receivable relationships with external suppliers and Procurement Services to prevent credit holds and ensure uninterrupted access to supplies and services. | • | Provide assistance and training to operational leaders and staff related to accounts payable transactions; responding timely to questions/concerns to meet business needs. | • | Review dashboards and reports to confirm proper processing and efficiencies within department. Work with leadership to analyze trends and adjusts accordingly to optimize staff and throughput; contribute to the development of processes and procedures as applicable. | • | Process the selection and release and selection of invoices for payment. Process payment cancelations in Oracle per instructions given. | • | Ensure compliance with tax reporting requirements (e.g., 1099 reporting, where applicable). | • | Support internal and external audits by providing documentation and responding to inquiries. | • | Identify opportunities for process improvements, automation, and efficiency gains. |
