JOB SUMMARY

The Operations Support Specialist is responsible for providing departmental administrative support, which may include Health Link and/or other large-scale systems. This position is largely self-directed and responsible for a range of duties associated with the general administrative functioning within the department/area, and across departmental areas. Under the guidance of departmental leadership, the Operations Support Specialist serves as the primary departmental contact for department related questions and problems.  This role assists in the planning and coordination of program and project related activities, which may include collaboration with multiple business leaders on a routine basis. The Operations Support Specialist is responsible for various operational charge capture functions and serves as the primary liaison between revenue cycle and clinical leaders.


ESSENTIAL DUTIES


Supports the development of project plans and workflows, and partners with leaders to implement workflow changes.

 

Collects information from department end-users regarding potential enhancement needs and works with departmental teams to validate and prioritize these enhancements.

 

Provides ongoing departmental training and support to include onboarding of new hires for the department

 

Works with department leaders to prioritize and determine timelines for scheduling of training for end-users as necessary

 

Ensures all staff has adequate and appropriate security class assignments and have been issued log-in access upon training completion.

 

In partnership with department leadership, coordinate administrative aspects of a department, unit, project or area, including preparation of reports, researching issues and assisting in updating policies, procedures, manuals, and administrative tools.

 

Provide leadership support with management of calendars, maintenance of agendas, taking meeting minutes, and the coordination of activities and schedules of management and department teams.

 

Compose and prepare correspondence, newsletters, presentations, and additional materials as needed.

 

Coordinate and monitor facility and departmental needs, purchase supplies, materials, services or equipment.

 

Identify, coordinate, prioritize and implement changes to charging, reconciliation and reporting.

 

Monitor charge capture work queues and email requests to ensure accounts are worked/corrected in a timely manner

 

Work with Clinical Systems Analysts to coordinate the review of all charge requests or changes with coding, billing, and cost accounting to ensure codes follow internal and national compliance standards

 

Participate/schedule discussions related to work-flow concerns with department managers, business office users, coding, information systems, and cost accounting teams as needed

 

Perform other duties as assigned.
