JOB SUMMARY

The Clinical Supply Chain Implementation Coordinator operates at the intersection of clinical practice and supply chain, ensuring successful execution of product conversions, standardization efforts, and new supply implementations across UW Health. The Clinical Supply Chain Implementation Coordinator is responsible for translating approved Clinical Quality Value Analysis (CQVA) decisions into actionable implementation plans, leading cross-functional execution, and ensuring consistent adoption of product and supply changes across clinical and operational settings. This role operates downstream of the CQVA process and is responsible for implementation following CQVA review and approval. It does not participate in product evaluation, selection, or value analysis decision-making, which remain the responsibility of the CQVA function.


ESSENTIAL DUTIES


Initiate implementation planning following CQVA committee approval and clinical acceptance of products, technologies, or standardization decisions.

 

Accountable for execution of implementation plans, including adherence to timelines, coordination of key milestones, and proactive identification and escalation of risks or barriers impacting successful rollout.

 

Lead implementation-related change management efforts, ensuring clinical and operational stakeholders are prepared for product transitions and workflow changes.

 

Identify and address resistance or barriers to adoption, partnering with clinical and operational leaders to drive alignment and sustain change.

 

Serve as the central point of accountability and coordination of product(s) across CQVA, supply chain, clinical teams, and suppliers to ensure alignment and execution

 

Develop and manage implementation timelines, tracking key milestones and updates and communicating with stakeholders and ensure adherence to established milestones.

 

Coordinate cross-functional stakeholders including clinical end users, sourcing/contracting, purchasing, Materials Management, and suppliers.

 

Works in close collaboration with the CQVA team to provide implementation progress updates and operational status, ensuring alignment with approved decisions and timelines.

 

Coordinate with CQVA team after clinical acceptance into actionable implementation plans.

 

Maintain working knowledge of conversion workflows to ensure product changes align with patient care delivery.

 

Partner with clinicians, SMEs, and department leaders to drive adoption and resolve barriers to implementation, including workflow, training, and supply issues.

 

Manage System-wide clinical supply and equipment formularies to support facility expansions and product substitutions and replacements.

 

Oversee coordination of product samples and evaluations (as needed), to support implementation readiness and a smooth transition to approved products.

 

Serve as on-site support during implementation when needed, assisting with supplier coordination.

 

Ensure appropriate handoff for education and in-servicing is facilitated where needed.

 

Coordinate with Materials Management personnel for receiving and distribution of evaluation materials.

 

Familiarity with internal ordering systems to support item setup awareness, ordering workflows.

 

Utilize supply chain and operational data to support implementation tracking, identify adoption gaps, and inform adjustments to rollout strategies.

 

Support post-implementation monitoring, including tracking adoption, compliance, and identifying variation.

 

Assist in developing and maintaining internal tracking tools and reports related to implementations.

 

Serve as a key point of contact for implementation updates, ensuring consistent and timely communication across stakeholders.

 

Bridge communication between clinical teams and supply chain to ensure clarity and alignment.

Knowledge, Skills, and Abilities

  • Strong understanding of healthcare environment and hospital operations
  • Familiarity with clinical terminology and workflows across procedural and inpatient settings
  • Foundational knowledge of supply chain systems (e.g., Oracle or equivalent ERP)
  • Analytical skillset with ability to interpret implementation, utilization, and operational data to support execution and decision-making
  • Project management capabilities, including managing multiple concurrent initiatives
  • Ability to communicate effectively with both clinical and operational stakeholders
  • Strong project management skills with attention to detail and follow-through
